The Donor Event Debrief

The fortune is in the follow-up.

The Tool and the Prompt

There are two ways to run The Donor Event Debrief. Same questions, same reports.

  • The tool is this page. Enter the event and the date, then talk, type, upload a photo, or add your notes for each person you talked with. The form asks you follow-up questions and writes the contact reports and the event summary. Nothing to set up.
  • The Prompt is the same questions and report rules as a document. Cut and paste it into a paid AI account, ChatGPT, Claude, Gemini, Perplexity, any of them, and say “debrief the event.” Use it when you want the debrief inside your own AI account. Google Doc · Plain text

The Questions

Six questions. Answer them however you like, in any order. “I don’t know” is a full answer to any of them.

  1. Who. Jot down notes about any person you spoke with.
  2. Connection and interest. What did you learn about their connection to the organization, and what seemed to really interest them?
  3. What you learned about them. What else did you learn about them — their work, interests, relationships, giving, boards, skills, or people they know?
  4. Questions, concerns, and promises. What did they ask about, question, or push back on — and did either of you promise anything?
  5. Follow-up. What should happen next, who should do it, and when? And who needs to be updated on this conversation, other than the database?
  6. Anything else. Anything else you want to remember or share with colleagues about this person?

The questions as a Google Doc, to print or share.

The Prompt

The same questions and report rules, as one block of text. Copy it, paste it into a paid AI account, and say “debrief the event.”

Talk, Type, Paste, or Photograph

  • Talk — press Talk for each person you talked with. In a paid AI account, use the microphone or voice mode and answer out of your head.
  • Type — fragments are fine. It never asks for full sentences.
  • Paste — a voice memo transcript or a block of notes goes in all at once. It sorts the notes into the PAPPA slots for each guest and asks only what is still missing.
  • Photograph — a picture of handwritten notes works the same way. It reads the photo, sorts it, and confirms anything it could not make out.

What It Is

This is where the event pays off.

  • Tell it about the people you talked with, in a fragment, a ramble, a voice note, or pasted notes.
  • It sorts what you said into the PAPPA donor discovery slots. Passion, Assets, People, Property, Approach.
  • It asks follow-up questions only where something is missing, and “I don’t know” is a full answer.
  • It writes that person’s contact report, offers three titles, and asks what to correct.
  • When you say that’s everyone, it writes the event summary and next steps.

Names

We recommend you do not use proper names. Initials or a nickname like “Minnie Mouse” will do.

PAPPA

PAPPA is the donor discovery framework from Donor Visits 2.0.

  • Passion — what they care about, in the words they used.
  • Assets — capacity, giving history, and the credibility and influence they bring.
  • People — their network.
  • Property — what they own, marked unresearched when it did not come up.
  • Approach — where to find them and how they prefer to be reached, which is how you design the next move.

Contact Report and Next Steps

The Donor Event Debrief organizes what you shared and gives you a report that is ready for your CRM. One contact report per guest, then one event summary with every follow-up owed. The finished debrief is confidential. The tool never emails it. You copy it into the donor records.

Talk through each person you met, type your notes, or add what you already captured. The Donor Event Debrief turns it into contact reports and next steps.

We recommend you do not use proper names. Initials or a nickname like “Minnie Mouse” will do.

Questions About the Donor Event Debrief

What can I provide for a donor event debrief?

You can type notes, paste a transcript, use browser dictation, or upload photos of notes. The debrief asks follow-up questions to clarify what you learned and identify missing information.

What does the Donor Event Debrief produce?

It prepares PAPPA contact reports for individual guests and an event summary with follow-up actions. Review the reports, then copy the whole debrief or individual reports into your donor records.

How does the debrief handle the information I provide?

The conversation and uploaded photos are sent to an AI service to generate the debrief. Event history and results are also saved in this browser. Use only information your organization permits you to share, and review the output before adding it to donor records.

Does the tool update our donor database or email guests?

You decide how to use the completed reports. Copy them into your organization’s donor records and assign the agreed follow-up. The tool does not update your CRM or send messages to guests.
